BOOKINGS

• A $1,000 non-refundable Booking Fee is required to secure the retreat Booking.

• Dates are not reserved or held until the Booking Fee has been received and the Booking has been accepted by Cedar Springs. Cedar Springs cannot hold dates without payment of the required Booking Fee.

• The $1,000 Booking Fee is non-refundable if the retreat organiser later cancels or changes the Booking.

• Final payment of the outstanding Accommodation Fee is required 30 days prior to arrival.

PRETREAT GUEST NUMBERS

• The standard maximum retreat group size included in the Accommodation Fee is 12 overnight guests.

• Additional overnight retreat guests above 12 must be discussed with and approved by Cedar Springs prior to arrival and will be charged at $100 per person, per night.

• The absolute maximum overnight occupancy of the Property is 14 persons, unless otherwise agreed in writing by Cedar Springs.

• No additional overnight guests are permitted unless disclosed to and approved by Cedar Springs before the retreat.

DAY GUESTS & ADDITIONAL ATTENDEES

• Any additional people attending the Property during the day who are not included as overnight retreat guests must be discussed with and approved by Cedar Springs in advance.

• Approved day guests will be charged at $50 per person, per day.

• This fee applies only to additional retreat participants or other attendees who are participating in the retreat or using the Property facilities. It does not apply to approved retreat hosts, facilitators, caterers, suppliers or contractors attending in connection with the operation of the retreat.

• Cedar Springs reserves the right to decline additional attendees where their presence is considered unsuitable for the Property or the Booking.

• Unapproved guests or visitors may result in additional charges and/or termination of the Booking.

RETREAT HOST RESPONSIBILITIES

• The retreat host or organiser is solely responsible for planning, marketing, promoting, selling and operating the retreat.

• Cedar Springs is not responsible for filling retreat places or securing attendees on behalf of the retreat host.

• Cedar Springs is under no obligation to advertise or promote the retreat through its website, social media channels, mailing list or any other platform.

• Any promotion or sharing undertaken by Cedar Springs is entirely at Cedar Springs discretion and does not represent a commitment to generate bookings, enquiries or attendance for the retreat.

• The retreat host is responsible for ensuring all guests, facilitators, staff, caterers, practitioners, suppliers and contractors comply with these Terms & Conditions.

• Details of any external caterers, facilitators, suppliers or contractors attending the Property must be provided to and approved by Cedar Springs no later than 4 weeks prior to the Booking.

CHECK-IN, EARLY ACCESS & CHECK-OUT

• Standard guest check-in is from 9:00am on the Arrival Date.

• Where early access has been arranged for retreat preparation, facilitator arrival, styling, catering or bump-in, approved early access begins from 8:00am.

• Early access must be arranged and approved by Cedar Springs in advance.

• If the retreat host, facilitator, staff member, caterer, supplier or contractor requires access to the Property before 8:00am, a $300 early access fee will apply.

• No access before the approved arrival or bump-in time is permitted without prior approval.

• Check-out is by 3:00pm on the Departure Date unless otherwise agreed in writing. Late departure may incur an additional fee.

ADDITIONAL EVENTS & ACTIVITIES

• The Booking permits use of the Property for the retreat disclosed to Cedar Springs at the time of booking.

• Any additional event, workshop, meal, gathering or organised activity involving additional attendees must be approved by Cedar Springs beforehand. Additional fees may apply depending on guest numbers, duration and use of the Property.

• Strictly no parties, weddings or unapproved large gatherings are permitted.

DAMAGES, BREAKAGES & EXCESS CLEANING

• Cedar Springs does not require a security bond for retreat bookings and accepts bookings in good faith that the Property and its contents will be treated with care and respect.

• The retreat organiser is responsible for any damage, breakages, loss or excessive cleaning caused by retreat guests, facilitators, staff, suppliers or other approved attendees during the Booking.

• Any damage, breakages or loss must be reported to Cedar Springs as soon as reasonably possible.

• Where additional cleaning is required beyond the standard turnover clean, including excessive rubbish removal, stains, spills or unreasonable mess, the retreat organiser will be charged the reasonable cost of the additional cleaning required.

• The retreat organiser will also be charged for the reasonable repair or replacement cost of any damaged, broken or missing items.

• Cedar Springs reserves the right to recover any reasonable costs arising from damage, breakages, loss, excessive cleaning, unauthorised guests, lost keys or any other breach of these Terms & Conditions.

CANCELLATION BY RETREAT ORGANISER

• Cancellations must be made in writing to Cedar Springs at info@cedarspringskiama.com.

• The $1,000 Booking Fee is non-refundable where the retreat organiser cancels the Booking.

• Where a Booking is cancelled more than 60 days prior to the Arrival Date, Accommodation Fees paid, excluding the $1,000 non-refundable Booking Fee, will be refunded.

• Where a Booking is cancelled 60 days or less prior to the Arrival Date, payments made toward the Accommodation Fee are non-refundable unless otherwise agreed by Cedar Springs in writing.

• Changes of date are subject to availability and Cedar Springs approval and do not automatically entitle the retreat organiser to a refund of the Booking Fee.

• No refunds are provided for cancellations arising from circumstances outside Cedar Springs reasonable control, including bushfires, pandemics, air-quality events or extreme weather. Where a bushfire or extreme weather event prevents all direct access to the Property, Cedar Springs may offer a credit for the same number of nights in place of a monetary refund. Any such credit is valid for 12 months and cannot be used on public holidays or long weekends unless otherwise agreed.

• Retreat groups that do not arrive for their Booking are not entitled to a refund or credit.

LICENCE TO USE PROPERTY

• Subject to these Terms & Conditions, Cedar Springs grants the Guest a licence to use the Property for the approved Booking.

• Nothing in these Terms & Conditions prevents Cedar Springs or its authorised representatives from entering the Property where reasonably required.

CHILDREN

• Children under 14 years of age are not permitted on the Property without the prior written consent of Cedar Springs.

• Guests are responsible for the actions and supervision of children in their group and must ensure they comply with these Terms & Conditions.

NO SMOKING

• Smoking is strictly prohibited inside the Property.

• If smoking results in smoke odour inside the Property or cigarette butts are not appropriately disposed of, a $500 cleaning fee may apply.

NO PETS

• Pets are not permitted at Cedar Springs unless expressly approved by Cedar Springs in writing.

EXTRA CLEANING / SERVICES

• The accommodation and grounds must be left in a clean and tidy condition.

• All dishes must be washed and returned to cupboards and rubbish placed in the appropriate bins.

• Extra cleaning or excessive rubbish removal may incur additional charges, calculated according to the additional time and services required.

AMENITIES

• Included amenities may include bed linen, towels, LEIF body and hair products, dishwashing supplies, cutlery, crockery, tea and coffee.

WILDLIFE & FARM ENVIRONMENT

• Cedar Springs is a rural working farm and snakes, spiders, ants, flies, insects and other wildlife may be present. Guests must not disturb or attempt to handle wildlife.

• Livestock may be present. Guests must not enter paddocks occupied by cattle or other livestock.

PARTY RESTRICTIONS

• Cedar Springs has a zero-tolerance policy for unauthorised parties. Weddings, parties, large gatherings and functions are not permitted unless expressly approved in writing.

• An unauthorised party or gathering may result in immediate termination of the Booking without refund and the group being required to vacate the Property.

CAMPING / SLEEP-OUT RESTRICTIONS

• Camping in tents is not permitted at Cedar Springs.

• Sleeping overnight in vehicles, campervans, motorhomes, buses or similar vehicles is not permitted.

FIRES

• Outdoor fires are only permitted in designated fire pits and with Cedar Springs approval.

• Outdoor fires are not permitted during December, January or February, or at any time when fire restrictions apply.

• Indoor fireplaces may be used year-round where available and must be operated safely.

• Lighting an unauthorised fire may result in termination of the Booking without refund.

ROAD SAFETY

• Off-road driving is not permitted at Cedar Springs.

• Guests must drive carefully and observe Property speed limits, taking into account other guests, livestock and wildlife.

• Driving on the Property while under the influence of alcohol or drugs is prohibited.

DAMAGES & BREAKAGES

• All damage, breakages or missing items must be reported to Cedar Springs as soon as possible.

• Guests are responsible for damage or loss caused by themselves, occupants or invitees. Charges may include repair or replacement, linen or towel replacement, stain or smell removal, excessive cleaning and rubbish removal.

• Costs may be deducted from the Security Bond. Where costs exceed the Security Bond, Cedar Springs may recover the additional amount from the Guest.

KEYS

• Lost Cedar Springs house keys or security gate buzzer may incur a $700 replacement charge, which may be deducted from the Security Bond.

NO NUISANCE

• Guests must not cause excessive noise, nuisance or unreasonable disturbance to Cedar Springs, neighbours or other persons nearby.

• Where serious complaints are received or police attendance is required, Cedar Springs may terminate the Booking and require the group to vacate the Property without refund.

CANCELLATION BY CEDAR SPRINGS

• If Cedar Springs must cancel or materially alter the Booking because the Property cannot reasonably be provided, Cedar Springs will notify the Guest as soon as reasonably possible and make reasonable efforts to offer an acceptable alternative.

• If Cedar Springs is unable to accommodate the Guest, amounts paid to Cedar Springs for the Booking, including the Accommodation Fee, deposit and Security Bond, will be refunded.

LIABILITY

• Guests must take reasonable steps to safeguard their personal property and all occupants and invitees use the Property at their own risk.

• Cedar Springs does not accept liability for injury, damage, loss, delay, additional expense or inconvenience caused directly or indirectly by events beyond its reasonable control, including bushfires, pandemics, air-quality events, extreme weather, wildlife or rural ground conditions, to the extent permitted by law.

• Nothing in these Terms & Conditions excludes, restricts or modifies any right or remedy that cannot lawfully be excluded under applicable law.

WARRANTY & RESPONSIBILITY FOR LOSS

• The Guest is responsible for harm, loss or damage caused by the actions of the Guest, occupants or invitees, including damage to the Property or its contents and reasonable losses arising from that damage.

APPLICABLE LAW / BREACH

• These Terms & Conditions are governed by the laws of New South Wales, Australia, and the parties submit to the jurisdiction of the courts of New South Wales.

• A serious breach of these Terms & Conditions may permit Cedar Springs to enter the Property, terminate or alter the Booking and/or require Guests to vacate. Where a Booking is terminated due to a Guest breach, no refund will be payable to the extent permitted by law.
